Reviews at every renewal
Each commercial account gets a risk profile 90 days before renewal, so coverage gaps surface while there’s still time to act.
Customer Story
With risk profiles in Applied Epic, a mostly new commercial team reviews every account and quotes with the data in hand.
Challenge
Tate Insurance Group grew fast. New hires and several book acquisitions meant most of its commercial account managers had been in the role for less than a year. Behind them sat a backlog of legacy accounts that had auto-renewed for years without a real review.
Getting to a quote took a lot of manual work. Producers drove to properties to measure buildings. Account managers spent 30 to 60 minutes per new quote hunting down protection class codes, fire department locations, VINs, and year built. Newer hires searched online for context they should have had on hand.
Faith Pezzulo, Tate's Commercial Lines Department Manager, saw exposure in coverage decisions no one had revisited. “There’s so many accounts that are unknowns,” she said. “Did the account manager actually document and sign off on coverages that were rejected? Were they offered everything they needed? Were they quoted right?”

Solution
Faith made a call that’s rare for an agency manager: every commercial account would run through its risk profile in Applied Epic. “[Book Builder] isn’t optional for my team,” she said. “I track utilization heavily.”
She built the review into Tate’s existing 90-day renewal workflow in Applied Epic. Every commercial account triggers a renewal review activity at the 90-day mark. Account managers review the account’s profile within two weeks, then meet with each producer for an hour to walk through their accounts. Together they document what’s offered, what’s declined, and what gets remarketed, in writing, every time.
New business runs the same way. When a six-location mattress retailer asked for a quote with only basic dec pages, Faith ran a prospect profile and sent the producer back into the conversation with risk attributes, coverage gaps, and the right questions to ask.
For newer account managers, the framing matters as much as the data. Walking a client through what they have, what they need, and why usually takes a few years in the role. With the analysis done up front, Tate’s team can have that conversation on day one. “It makes them more prepared and more confident to have those conversations,” Faith said.
One profile per account carries through renewal reviews, new prospects, and quoting, so the team works from the same facts.
Each commercial account gets a risk profile 90 days before renewal, so coverage gaps surface while there’s still time to act.
Any inbound or referred prospect can get a profile by email, with risk attributes and coverage gaps ready before the first call.
The property and vehicle details a quote depends on come with the profile, so account managers can start quoting right away.
Results
The first change was time. Account managers stopped hunting for ancillary data before every quote. “With [Book Builder], I can actually just sit down and quote it, whereas before, I was spending maybe 30 minutes to an hour, depending on the account, trying to look up all the ancillary information I was still missing,” Faith said.
The second was reach. Tate has written about $350,000 in out-of-state commercial risks in Ohio and Virginia, accounts it couldn’t have underwritten quickly under the old workflow. Producers no longer drive to each site to measure and gather data.
The workflow itself is stronger, too. Every commercial account at Tate is now reviewed each year, with coverage decisions documented in writing, and the team quotes more business than it typically would.
